Cash Advances

General Information:

  • In Psychology, cash advances are restricted to use for research subject payments.
  • All cash advances must be in compliance with applicable rules, regulations and University policies. Please review these policies before requesting an advance:
  • Cash advances should not be requested any earlier than 10 days preceding the event.
  • A cash advance constitutes a promissory note and payroll deduction authorization. Unspent cash must be returned immediately after the scheduled cash advance end date to avoid a payroll deduction.
  • Cash advances are directly deposited into requestor’s designated bank account or personal checking account associated with the requestor’s employee id.

Requesting a Cash Advance:

  • Complete Employee Expense Worksheet (UM 1612)
  • See Request Advance (xls) for example of completed worksheet
  • UM 1612 must have signature of study/chartfield account manager
  • Place completed Cash Advance request in lox box located between Accounting offices S252 and S250 EltH.

Reconciling a Cash Advance:

  • Employees must account for cash advances immediately after the scheduled cash advance end date.
  • Complete Employee Expense Worksheet (UM 1612)
    • See Close Advance (xls) for example of completed worksheet
    • UM1612 must have signature of study/chartfield account manager
  • Cash distribution logs, transaction justifications and other support documentation accounting for the cash are required when submitting an employee expense report accounting for the expenses for the cash advance.
  • If the distribution logs are less than the Cash Advance, the employee must attach a personal check, payable to the University of Minnesota, for the difference.
  • If the distribution logs are greater than the Cash Advance, a deposit for the difference will be made to the requestor’s designated bank account. Place completed Cash Advance request in the lock box located between Accounting offices S252 and S250 EltH.
